Rental Policies
Welcome to Pinehurst!
We are so excited to host you and your group! Pinehurst is a unique residential, resort community where full-time residents and vacation guests live together. While we are thrilled you are vacationing with us, the surrounding neighbors may be full time residents and are entitled to enjoy the peace and quiet of their own home. Below highlight’s some important policies all guests must follow. Sandhills Rentals take pride in making sure everyone has a “Perfect day in Pinehurst”.
Note that this is a short-term vacation rental home. The vacation home is limited to residential; vacation use only.
Occupancy:
Your group’s lease period begins at 4:00 pm on your scheduled check in day and ends at 10:00 am on your departure date. If your group wishes to check-in early or depart later, you must get approval from Sandhills Rentals.
Confirmation & Payments:
After making your reservation, we will send you a Confirmation requesting your first payment, which amounts to 50% rental amount.
Your final payment must be received 30 days prior to your group’s arrival and will include the second half of the rent + the refundable security deposit.
Acceptable forms of payment include personal checks or credit cards. Accepted Credit Cards include Visa, Master Card and Amex. Please be sure that your reservation number or leaseholder's name is on any remittance so that we can be sure your payment is accounted for correctly.
Damages:
Leaseholder agrees to notify Sandhills Rentals as to any damages or accidents that occur to the premises, to both real property and personal property during your rental period. Any damages that occur will be charged deducted from your security deposit. Other deductions may include excessive messes resulting in additional cleaning and/or trash removal.
Taxes:
A tax of 10.00% will be included with all Vacation Rentals.
Last Minute Travel:
All reservations made within 30 days of your arrival date will require payment in full.
Reservation Verification:
For insurance and security rules, you may be asked to provid a copy of your official goverment-issued photo ID, confirm your contact information, provide a valid credit card with a name that matches your ID, pass through our verification portal, and in some instances complete a criminal background check.
Important Note: The information is collected for screening and verification only and is not stored or used for any other purposes. Please be advided that all guests will be asked to sign a rental usage agreement that governs the terms of the stay. By completing the reservation you understand that your check-in intstructions might be witheld until you have successfully completed our verification portal.
Cancellations:
To cancel a confirmed reservation, please call us as soon as you know to give us as much time as possible to re-rent your group’s accommodations. No refunds will be issued for cancellations within 30 days from arrival of the property are NOT Re-Rented. Cancellations within 31 – 90 days of the arrival will result in a loss of the initial deposit unless the property is re-rented. Cancellation of any reservation outside of 91 days will result in a onetime charge of $150.00 PER Property for administrative fees. If an individual from your group cancels, his/her portion of the lodging is still due.
Golf Packages / Changes:
All golf fees must be paid to Sandhills Rentals no later than 14 days prior to the stay. Any changes to your group’s tee times must be made with Sandhills Rentals 7 days prior to your original tee off time. Changes made less than 7 days in advance may be subject to charges equal to the full amount of the tee time. Credits will be based on the refund policy of each course. In some cases, courses will offer rain checks vs. refunds. Each course is its own entity completely separate from Sandhills Rentals, LLC. All efforts will be made to recover funds or issue rain checks, but if the course will not waive golf fees then Sandhills Rentals, LLC will not issue a refund to you. If your group or an individual is a no-show, no credit or rain checks will be given. Changes in your golf itinerary or request for a change must be made through Sandhills Rentals during normal business hours. Changes made after the package is reserved will result in a change fee.
Rain-Out:
Sandhills Rentals, LLC has a policy that if the course is open there are NO REFUNDS given by our company. If your group chooses not to play you can request a rain check from the course. If the course is closed then the course will either issue rain checks to you directly at the course or will notify Sandhills Rentals, LLC that they will not be billing us. If Sandhills Rentals, LLC is not charged, we will reimburse your group. The refund method will be coordinated with the Group Leader.
Property Details & Checking In:
Once a packager has paid in full you will access to our Sandhills Rentals app. Property information can be found there, and access information will be emailed out to the packager 48 hours prior to the group’s arrival.
Check in is at 4:00 pm unless you have confirmation that an early check-in is available from Sandhills Rentals. All of our homes are equipped with a digital lockbox or code lockbox system.
Parking:
Please do not park your parties’ vehicles on the street. All vehicles must be in the driveway or a designated parking space if staying in one of our condos. Tenants assume their own risk of being towed if they fail to adhere to this community ordinance.
Noise Ordinance:
Pinehurst and the surrounding communities observe a strict noise ordinance of 10:00 pm. The majority of our rentals are located in communities with full-time residents. We ask that you keep this in mind while enjoying your stay.
Gated Communities:
If your group is staying in a gated community (Forest Creek or Seven Lakes), a list of all guest’s names must be submitted to VacationRentals@SandhillsRentals.com 7 days prior to your group’s arrival. Sandhills Rentals will provide the names to the guard gate along with the dates your party should be provided access.
Wireless Internet:
Sandhills Rentals does not guarantee Internet connectivity or speed. The majority of our rentals do offer WiFi service for guests. This can also be found under the “My Vacation Rental” tab within the Sandhills Rentals app once your group is paid in full.
Linens & Toiletries:
All bed and bath linens will be provided for your group during your stay.
Please plan to supply your own soap, shampoo, etc. Initial supplies of toilet paper, paper towels and trash bags will be provided upon your arrival.
Checking Out:
Check-out time is 10:00 a.m. unless otherwise agreed upon.
Turn off all lights & appliances including coffee maker, toaster, etc.
If any furniture was moved during your stay, please return it to its original spot.
Please place all dirty dishes in the dishwasher, and start the cycle.
Take all garbage out to the outdoor trashcan or place into the dumpsters if applicable.
Close and lock all windows and doors (including doors leading to decks, patios, etc).
Guest understands that violations of any policies listed above can result in additional charges, loss of deposit and possible immediate eviction. If you have any questions or concerns, please contact management.
